Non-official roles do not require training and are just as necessary for the success of the meet.

VOLUNTEER Position DESCRIPTIONS

  • Head Timer

    Ensures that every lane timer has a working stopwatch to record the time of their swimmer. Is responsible for several stopwatches at once.  Starts stopwatches at the beginning of each heat; swaps their functioning stopwatches with any timer whose stopwatch may not be functioning during the heat.  Will retrieve additional stopwatches if a stopwatch is inoperative.  Minimal training required. 


  • Lane Timers

    Use a stopwatch and automatic timing plunger to help record the official time of each swimmer. Timers serve as a crucial backup to the automatic, touchpad timing system and serve an invaluble role in ensuring that every swim receives an accurate, recorded time. Focus is essential. Without a stopwatch backup, should a problem occur with the timing system, a swimmer's hard work might not receive an official time. Enjoy the best view of the racing! Minimal training required.

  • Timing System Board Operator

    Operate the panel which controls the automatic timing system and links to the display screens at the venue. Training required.

  • Safety Marshall

    Ensures that all Safe Sport protocols are followed on the pool deck. Monitors the behavior of swimmers on the pool deck to ensure the safety of every participant.  Marshalls observe designated areas, “do not cross” barriers, and entry/exit doors not meant for parents/ adults.  You are basically an extra set of eyes for lifeguards and meet management. Background check required.

  • Awards

    Organize and label awards (medals, ribbons) for each event. Deliver heat winner ribbons, if awarded. 

  • Concessions

    Sells concessions. Helps set up and tear down concession stand. Assigned to work for one half of the meet. 


  • Bullpen

    Supervises the waiting area for select  age groups during meets and keeps track of swimmers - as best as they reasonably can - between events.  Gets swimmers to the ready bench on time with caps and goggles. For most age groups, several parents will share this job. This position is  important for the younger swimmers, and the bullpen parents for the youngest ages (6 & under and 7-8) are especially critical to the timely start of the meet. Some training with an experienced bullpen person is required.


  • Announcer

    Announces first, second and final calls for each event. Works closely with the meet's Starter to keep the meet running smoothly. The announcer will need to anticipate communication flow based on the number of swimmers, the stroke, the number of lengths to be swum, and the age of the swimmers. Minimal training is required for this position. 


  • Runner

    Collects time sheets from timers, posts final times/scores once events are finished and QCd, and works with Admin and Head Referee Officials throughout the meet.  Runners should have good tennis shoes that work well on slippery wet surfaces. Runners are assigned to work for one half of the meet. This job keeps you moving around the pool deck and the time passes quickly. 


  • Hospitality

    Sets up, oversees, and maintains a special room with snacks, drinks, and food at swim meets for coaches and officials working at the meet. Hospitality volunteers are similar to concessions, but only prepare food for coaches and officials working at a swim meet.  Hospitality volunteers will offer water to officials and timers on deck throughout the meet.  We utilize hospitality for our longer meet in December where both breakfast and lunch options may need to be ready for officials and coaches working all day.


  • Data Entry

    Responsible for pulling data from the timing board, verifying and QCing data with help of Admin Officials. Training required.


  • Social Media

    Social Media Ambassador:

    πŸ“ˆ Produces compelling posts, stories, and reels that increase visibility and attract new members to our club.
